Privacy Notice

Who we are
We decide how and why personal information is used, so we are the data controller.
To contact us about privacy or your information, email talesmadeservice@gmail.com.
What information we collect
When an adult places an order or contacts us, we may collect their name, email address, delivery address, order details, payment status and messages to us.
To create a custom storybook, we may collect information about the person featured in it, such as their name, age, photographs, interests and story preferences. The person featured may be a child or an adult, and may be different from the person placing the order.
Our website and order form may also collect technical information, such as device or browser details and cookie information.
Please provide only information needed to make the book. Do not include sensitive details, such as health or religious information, unless it is part of the storybook making process.
How we use the information
We use information to:
respond to inquiries and manage orders;
create and illustrate the personalized story and prepare a preview;
print, deliver and support the book you ordered;
keep the financial records we are legally required to keep; and
operate and secure our website and services.
We use information for optional marketing only where permitted by law. We will not use a person’s photo or story in advertising, social media or other public examples without separate permission. If the person featured is under 18, we will seek permission from their parent or guardian..
Information about children
Our books are often made for children, but Tales Made creates books for people of any age. Orders are placed by adults.
If you provide information or photographs about someone under 18, you confirm that you are their parent or guardian, or have permission from their parent or guardian to share it for this purpose. We use that information to create the requested book and do not sell photos or story details.
AI-assisted creation
We use ChatGPT to help create story text and illustrations. Information sent to these services may include the featured person’s photos, name, age, interests and story instructions.
These providers process information under their own terms and privacy arrangements. We review generated work before sending a preview.
Who we share information with
We share only the information needed to provide the service with the relevant providers, which may include:
Squarespace, for website hosting.
Jotform, for the order form.
ChatGPT, to help create the story and illustrations.
Prodigi, to print and fulfill books.
Stripe, to process payments.
Some providers may process information outside the UK.
How long we keep information
We keep information only for as long as needed for the purposes above and any legal record-keeping requirements.
Photos, story details and working files: around a week after delivery to customer.
Order, payment and accounting records: around 5 years.
Enquiries that do not become orders: deleted after order is cancelled.
Marketing permissions: until withdrawn.
Some providers may retain information in backups or for their own legal, security or dispute-resolution requirements.
Your rights
Depending on the circumstances, you may have the right to ask us for a copy of personal information, correct it, delete it, restrict or object to its use, or receive certain information in a portable format. Where we rely on consent, you can withdraw it at any time; this does not affect processing already carried out.
To make a request, email talesmadeservice@gmail.com. You can also complain to the UK Information Commissioner’s Office at ico.org.uk.
